Free tool
Your email signature, done in two minutes.
Free for agents and brokerages. Pick a design, add your details, and paste it into Gmail, Outlook or Apple Mail. No account, nothing to download.
Design
Pastes into Gmail, Outlook and Apple Mail.
You
A clear photo of your face. We crop it to fit each design.
Your brokerage
Setting this up for your team? These are the parts every agent shares.
A PNG with a transparent background looks best.
Social
Your username or the full link. Leave any you don't use empty.
Make this your whole team's signature
Get one link with this design and your brokerage's logo, colour and details built in. Each agent opens it, adds their own details and copies a signature that matches everyone else's.
Add it to your email
Copy it, then paste it in.
Always paste it; never retype it. Pasting carries the design and the images with it, and typing doesn't.
- 1Open Gmail on your computer, click the gear icon, then See all settings.
- 2On the General tab, scroll to Signature and click Create new. Give it a name.
- 3Click inside the signature box and paste (Ctrl+V on Windows, Cmd+V on a Mac).
- 4Under Signature defaults, choose it for new emails and for replies and forwards.
- 5Scroll to the bottom and click Save Changes.
- 1In Outlook on the web or the new Outlook for Windows and Mac, click the gear icon, then Mail, then Compose and reply.
- 2Under Email signature, click New signature and give it a name.
- 3Click inside the editor and paste.
- 4Under Select default signatures, choose it for new messages and for replies and forwards, then click Save.
In classic Outlook for Windows, it's File, Options, Mail, Signatures. Classic Outlook pastes most reliably from Chrome or Edge.
- 1Open Mail, then from the menu bar choose Mail, Settings, Signatures.
- 2Select your email account on the left and click the + button.
- 3Delete the placeholder text on the right and paste.
- 4Untick “Always match my default message font” so the signature keeps its own fonts, then close the window.
Images can show as a broken icon in this window and still work in sent mail. Send yourself a test email to check.
- 1On a computer, paste the signature into a new email and send it to yourself.
- 2On your iPhone, open that email, press and hold on the signature, then Select All and Copy.
- 3Open Settings, then Mail (or Apps, then Mail), then Signature.
- 4Clear the box and paste. If the formatting disappears, shake your phone and tap Undo to bring it back.
The iPhone's Mail app only keeps images when you paste from an email you've received, which is why the first step sends it to you.
For brokerages
One signature, every agent.
Your brand on every email
Agents send hundreds of emails a month. A matching signature puts your logo and colours in every one, instead of a dozen home-made versions.
A recruiting link that runs itself
Add your recruiting page as the website, and every agent who does well sends other agents your way without trying.
The small print, done right
License numbers, the office address, the Equal Housing logo and your disclaimer, the same on every agent's emails.
The signature link is one of the cheapest recruiting tools there is. Read why in how independent brokerages recruit agents.
Questions
Signature questions, answered.
Anything else, ask us on the walkthrough, or write to hello@joincapped.com.
Is it really free?
Yes. There's no account and nothing to download. Make as many signatures as you like, and share your brokerage's team link with every agent.
Will it work in Gmail, Outlook and Apple Mail?
Yes. The signatures are built the way email needs: simple tables, images with fixed sizes, and no web fonts or modern image formats that Outlook can't show. Copy it, paste it into your mail app's signature settings, and it keeps its design.
Images don't show for the people I email. Why?
Most mail apps hide images from new senders until the reader clicks to show them; that's normal. If they never show, make sure you pasted the signature from this page rather than retyping it, then send a test to a friend.
The spacing changed after I pasted it. How do I fix it?
Paste into the signature box with nothing else selected, and don't press Enter inside the signature afterwards. In Apple Mail, untick “Always match my default message font”. In Gmail, if a blank line appears above it, click at the top of the box and press Backspace once.
How do I give every agent the same signature?
Fill in your brokerage's name, logo, colour and details, then create the team link and send it to your agents. Each one opens it, adds their own name, contact details and photo, and copies a signature that matches everyone else's.
Where are my details saved?
Only in your own browser, so you can come back and change them. Nothing you type is sent to us. Photos and logos you upload are stored so they can show in your emails.
Want every new agent set up from day one?
The signature is one step. Capped's virtual office puts your whole onboarding in one place, in your brand: joining, signing, a first-day checklist and the tour.
